Homeschool Co-op Tracking Form–7 Step DIY Homeschool Planner

Back when I did my 5 day series of a homeschooling co-op convert, I had written down some ideas for a homeschool co-op tracking form I wanted to create.  It joined my ever growing list of forms to create “soon”.

I have to admit to you that I don’t know why I am so hard on myself when it comes to crafting my forms, but I am.  I linger over every font, every color, every layout, every space, every font, every color, okay—you get the idea.  Sometimes I fuss so much over it that it can be stifling to get started on them because I have all the details whirling around in my head and want them to look just perfect so on paper.

Too, I always want my forms to cover a multiple range of possibilities and this form is no different.  When attending our homeschool co-op, I mull over many scenarios and details and then finally put it all down on paper.

It gets harder for me to decide which form to fuss over create first and focus on because I want them all right now.  So when I hear from you (like Haley who emailed me) and needed one now, I just love moving one form like the homeschool co-op tracking form to the top of the list when I can.  I am so excited today to show you the first form for using in your homeschool co-op.

Because a form can either plan or track, there is a difference you know, I have created the tracking form first because I think that a majority of you can use it this next year.

This is a tracking form which means you are recording or tracking what your children have covered or will be doing in a co-op.  Noting what they have learned, what they need to bring to the next class and generally putting down any details that you may want to remember would go on this form.  A planning form is totally different from this tracking form because that is something a homeschool co-op leader would use to plan for a co-op.

Look below at my picture as I explain the many uses of this one tracking form and about each section in a little more detail.

About the time period section.  Instead of using “July to June” which I use for most of my year round forms, I left the time period blank because homeschool co-op are all very different as to when they begin and end.

Your children may attend a co-op once a week, once a month or multiple times a week.  The time period “From____ to ____” is much more flexible and allows you to track the time period by months, semesters or weeks.

The page also has 8 boxes or sections on it which is enough either for a 7 day week or for about 2 months if attendance is monthly.

About 8 sections for the 7 day week.  Some homeschool co-op activities flow into the weekend even if your child attends only 5 days a week.  Especially at the high school level or when you are in a state or country where you need to track all the activities your children are doing, the 8 sections allows a place to jot down what they have covered during the 5 day week and as they do activities that flow into the 2 day weekend.

If you need to track actual hours, the box is big enough to pencil the time in too.  I am still on the fence about adding a box within the notes section for actual hours, but I know not everybody tracks that exacting.  Again, it’s big enough though if you do need to track that way.

About 8 sections for monthly co-ops.  Our co-op met monthly so I would use one sections to track each monthly meet up.  So one page would be enough for me to get about 2 months on it.

About Name{s} section.  I even left the name section very vague instead of putting “Student’s Name” on that part.  If all of your children attend the co-op, you may want to put their names in that box or in my case, our co-op had a name so I would put the co-op name in that area.  There was a time when we were attending parts of two co-ops also.  So I would have two forms going in my planner for that scenario, with the name of the co-op on each one.

Too, you can use one form per child and put each child’s name in that section and this is especially helpful if you have a teen in high school.  It allows you a way to track just his or her activities when you need a bit more record keeping for a young adult.  Sometimes each child is going to a different co-op and you may need one form per child.  Too, it may just be your preference that each child has his own form.

Like all my forms, you decide which forms to print and how many instead of me deciding for you by throwing one huge curriculum planner at one which is never my style.

About the date/s section.  As you can see from the sample above, it also is very flexible allowing you to fill it in and check each day for the week or just use it for one time a week.

All of these scenarios I keep in my head and too I only make forms to share with you of things I would love using.  So though it may take me a bit longer to construct each one, I am happier when I take time to stress over mind the details.

I am so over the top excited with the newest form and hope you like it too.  I hope the hardest part for you will be deciding how many to print.

When do you bind your planner?  I know some of you get anxious excited and bind it early, but I always do mine in late June because it gives me time to think about exactly what I want in my planner for the year.

Curriculum Planner – 2 Pages Per Month At A Glance Academic Calendar. New Beginnings Color

Curriculum Planner Must-Haves

Whether you choose to call it a curriculum planner or homeschool planner, it is a necessary organizing tool when you homeschool.  Oh sure, I have tried spread sheets, online trackers and all kinds of techie things, but I always come back to plain paper and pencil.

Every since I created my first curriculum planner and stopped trying to be something I am not by using the latest technology or gadget that is out because I thought it would be more “convenient”,  my must-haves for a curriculum planner became very clear.

I have always claimed that there is something about the physical act of writing out our day that helps me to remember where I am going and what we are doing.  I don’t have to wait for something to charge or boot up before I use it and for me my curriculum planner feels real personal when I add pictures of our past field trips and other activities we have been involved in.  It becomes a journal of our journey.

Basics, but Essentials of a Curriculum Planner

So I thought I would share a few of my must-haves because as you can see from the picture below, I kind of poke fun at myself for things that I missed each year.  And too you will notice that I don’t have every year here because it took me a few years to figure some stuff out.

As far as the basics or essentials, here is my list:

  • I need the school year someplace on it.  You will see in picture number 1, I was so impressed that I could do a calendar over a picture that I forget the school year.
  • Talking about calendar, I know that I want multiple calendar years in my curriculum planner AND I also want a place to plan my year.  Those are two very different calendars.  One is for noting dates and the other one gives you room to plan.
  • I need undated pages.  It took me several years to figure that one out.  Did I tell you one year I wrote out EVERY lesson plan for the whole year? It took me months to do and guess what? In the first week of school, the boys got sick and I was behind already. I created stress by dating each page before I got to it.  Talk about tears.  Now, all my planner pages are numbered for organization, but not dated.  In homeschool, we have the flexibility to skip a day or two and then pick back up with our curriculum planner.  I hope you learn from my mistakes.
  • My last basic essential is that I need multiple sections to add to my planner depending on the season of homeschooling that I am in.  I need one that has objectives and one that has more tracking if I want to hold myself more accountable one year and I needed forms for both preschool and high school depending on where I was in my journey.

But I know too that is not all I want in my curriculum planner.  The other set of must-haves has to do with design.

Once I figured that I wanted the function to stay flexible and for it to not just be a generic blank planner, I focused on the beauty of it.

Look at what I have now in my must-haves for design.

  • I want something unique each year that is NOT one huge download where all the pages are the same.  Where is the fun and creativity in that?   I must have it with a twist each year or eclectic looking so that each year it retains a unique quality.   That is why I create new curriculum planner covers each year.
  • This next one is a biggie for me and that is it has to have color.  If I spend a couple of hundred dollars on curriculum for my kids, I think I can splurge pay a few extra cents and have my curriculum planner in a color that I like looking at each day.
  • Then of course coil binding is the way to go so that it lays completely flat so I can write on it and adding a sturdy front and back cover keeps it durable during the whole year.

Then of course I always keep a bag of pretties handy when I need them.

Figuring out my list of must-haves didn’t take one year or even just a couple.  It has taken years to fine tune a tool so that it becomes something I cannot possible school without.

You would think some of these things would be just a given that I  would have it in my planner, but it’s easier said than done once you start designing.

I love my pictures of my old planners so I can laugh at myself, but it also reminds me of why I love my planner and more special to me is the fact that I can share what I love with you too.

I am trying to stay ahead of the “moving curve” by sending out my planner forms for this year a tad bit early.  You know normally somewhere early spring I send out my updated forms.  I don’t want to take any chances though that my move overseas will interrupt you making your planner when it’s time.

But not only that, I have some other new forms besides the cover pages that I will be showcasing this year (hopefully) later.   I just wanted to give you a heads up about those new forms too in case I get interrupted by my move.

I normally try to stick to my homeschool unit studies at this time of the year, but again my readers fall in the super smart category (call me biased) and I know I won’t confuse you by throwing hodgepodge topics at you right now.

I think what I am trying to say in a professional blogging way is: “GIRRRRL, I will be ALL over the place on my blogging topics as we get closer to putting up the house for sale!”

Blue Serenity Homeschool Planner

So today, I am excited to share the next newest Curriculum Planner cover.  I call this one Blue Serenity because it has that effect on me when I look at it.  Also, I have added the words “year round” as part of the title because most of us homeschool year round.

If you don’t actually homeschool year round, you do plan so I think anybody could really use it even if you take off for the summer.

One thing you will notice and that is I started leaving off my name at the bottom on a few of the forms.  It certainly is not because I am not claiming copyright, but I wanted you to have something personal and its hard to do that on some forms where a website is all over it.   Besides, I have you to tout about my planner and you know where my forms are at.  That is all that is important to me.

Though I have had copyright infringement on my planner forms by other bloggers claiming my forms (remember my 5 year list of holidays on one page where a blogger added her branding at the top and claimed it as her own), it has not dampened my enthusiasm to share with you.  I did follow up with that blogger and she removed my documents.

My focus is on you and I am undeterred in providing you with a hot planner.  One that you are proud of.
